JOB DESCRIPTION: Project Coordinator III
Provides administrative support to the functional area assigned as necessary. Will be responsible for maintaining the Plant Manager’s calendar. Independently, performs complex and diverse administrative duties. Requires thorough knowledge of company operations, policies, and procedures. Handles details of a highly confidential and critical nature information. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Prepares presentation materials for meetings. Makes high-level contacts of a sensitive nature inside and outside the company. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
REQUIREMENTS - QUALIFICATIONS: Project Coordinator III
1. Uses problem solving techniques, tact and discretion when handling telephone calls, making travel arrangements, scheduling meetings and other requests for information.
2. Performs various administrative duties including Internet/Intranet research, facilities coordination, and setting up files, ordering supplies and equipment, photocopying documents and distributing mail.
3. Types/creates graphics presentations to be used for product/project reviews, vendor meetings and customer meetings based on information and instruction received. Completes reprographics and binding requirements for distribution. Coordinates meetings including travel, location, catering, etc.
4. Types and proofreads correspondence, reports and forms, corrects grammar and formatting errors; draft brief correspondence of a routine nature.
5. Acts as an information resource on organizational policies and procedures.
6. Collects, logs and organizes information from a variety of sources as requested.
7. Compares budget plant to actual expenditures and resolves discrepancies. Participates in the AOP and budget forecasting process.
8. Applies knowledge of business priorities and company organization when assisting in the development, implementation.
9. Conducts special projects as directed. Provides project support to a functional group or business process.
10. Interacts with peers, upper management, and vendors on a frequent basis.
11. Keep controlled and maintain a stock of office supplies for all the supported functional areas.
EDUCATION:
Bachelor’s Degree in Secretarial Sciences, Administration, or related field.
WORK EXPERIENCE:
• Minimum of five (5) years of secretarial/administrative experience.
SPECIAL REQUIREMENTS:
• Mastery of all components of Microsoft Office. • Excellent interpersonal skills. • Ability to juggle multiple tasks and set priorities. • Strong verbal and written communication skills (English & Spanish). • Accuracy in record keeping and correspondence. • Exceptional telephone skills including ability to handle several lines simultaneously. • Planning and judgment skills. • Organization and problem-solving skills. • Meeting/calendar coordination. • Ability to work independently and as a team member. • Flexibility and adaptability. • Ability to interact positively with diverse community members. • Typing skills: 50 wpm/thorough understanding of Microsoft Word 6.0A or higher.
